The Project Request Process facilitates at Seton Hall University is designed to facilitate the initiation of new technology initiatives and projects that enhance the administration of the University operations. All technology projects Any project requiring IT resources must go through this process to be approved by the CIO and IT Services Executive Management.In order to propose a technology project, the first step is to submit a project request form that initiates the processbegin with a formal project request. Below are the steps to guide you through submitting a project request and what to expect during the initial stages.

Request a Project

  1. Fill out and submit the Project Request Form.

    • Begin by completing and submitting the Project Request Form via Jira. This step formally initiates your technology project, documenting its purpose, need, and preliminary expectations.

  2. The project request will enter the project request queue and be reviewed.

  3. Approved project requests will be prioritized, assigned a project manager and assigned to the correct project portfolio.

  4. The assigned Project Manager will schedule a Project Initiation/Data Elicitation meeting with the Requester/Project Sponsor and other relevant resources to address outstanding questions and obtain information required to draft the project charter.

  5. The Project Manager will meet with the core project team members to produce a project plan and determine an achievable target project completion date.

  6. The Project Manager will complete the project charter (which includes a high-level plan with a timeline) and schedule a QAA (Quality Assurance Assessmentbe evaluated by the IT Planning Office

    • Once your form is submitted, the IT Planning Office will review your request. During this evaluation, a meeting may be scheduled with you (the requester) to gather additional requirements, determine the project scope, and collaborate on developing the Project Charter. Please note, it may take up to three weeks for a project manager to contact you regarding your request. This document outlines the project’s objectives, key stakeholders, and high-level timeline.

  7. Review by the Project Management Committee

    • After the Project Charter is finalized, it will be submitted to the Project Management Committee for formal review and approval. This committee, which includes key IT leaders such as the CIO, Director of Architecture and Infrastructure, Director of IT Security, and other critical stakeholders, ensures the project aligns with the University’s strategic goals and resource availability.

  8. The Project Manager will schedule a Quality Assurance Assessment (QAA) meeting

    1. Once the Project Management Committee approves the Project Charter, the assigned Project Manager will organize a Quality Assurance Assessment (QAA) meeting with the Requester/Project Sponsor and other

    stakeholders for approval/sign-off on the project charter to allow work to commence on the project
    1. relevant stakeholders. This meeting ensures everyone is aligned on the project’s scope, timeline, and objectives, allowing the project to officially begin.
