Manage OneDrive Files and Folders

Share OneDrive Files and Folders

The files on your OneDrive are private until you share them. Keep in mind that when you share folders with Edit permissions, people you share with can add the shared folders to their own OneDrive. This lets them keep the folder alongside their own folders and items, easily move items between folders, and more easily work on it offline. Any updates they make sync with the shared folder, so everyone with access to the folder is up to date.

  1. With a file open or a file or folder selected, select Share.

  2. If you are working on your desktop and the file hasn’t been saved to OneDrive or SharePoint, you will be prompted to select a location to upload your file before sharing. Select your OneDrive - Seton Hall University.

  3. Click the Gear Icon next to “Copy link.” Then, choose the access option that aligns with the security of the file or folder. Options include:

    • Anyone: Shared with anyone, doesn’t require a sign-in; expires in 30 days.

    • People in Seton Hall University: Shared with people in Seton Hall University, organization account required.

    • People with existing access: Reshare with people in your organization who already have access.

    • People you choose: Share with specific people you choose inside or outside of Seton Hall University, using their name, group, or email.

  4. Under More Settings, select the permission level for the file or folder. Default options include:

    • Can edit (Make any changes)

    • Can review (Can only suggest changes)

    • Can view (Can’t make changes)

    • Can’t download (Can view, but not download)

  5. If applicable, set an expiration date for the share link. If no date is set, the expiration date will be determined by the organization’s global settings.

  6. Select Apply to save the permissions.

  7. Enter the name or email address of people you want to share with.

  8. Type a message.

  9. Select Send.

Or, you can select Copy Link and send the link in an email or add it to a file.
