The Office of IT Planning and Communication is dedicated to advancing the University's strategic priorities by aligning technological initiatives with organizational goals. We specialize in guiding IT projects from concept to completion, ensuring they stay on track, within scope, and within budget. By emphasizing efficiency, accountability, and collaboration, we deliver innovative solutions that drive transformation and continuous improvement. 

Project Lifecycle

  • Submit the IT Project Request Form to initiate a project. 

  • Collaborate with the IT Planning team to define objectives and secure approval. 

  • Develop a project charter outlining scope, goals, and team roles. 

  • Create a detailed roadmap, including schedules, budgets, and resource allocation. 

  • Identify risks and establish proactive mitigation strategies. 

    • Implement clear communication and documentation procedures for alignment. 

  • Implement the project plan and assign tasks to functional and IT teams. 

  • Monitor progress to ensure resources are effectively coordinated. 

  • Focus on meeting project objectives and deliverables. 

  • Track progress and identify potential schedule variances, risks, and bottlenecks. 

  • Address challenges and dependencies to keep the project on track. 

  • Provide support to ensure efficient project execution. 

  • Finalize all deliverables and obtain stakeholder approval. 

  • Formally conclude the project. 

  • Document lessons learned to improve processes for future projects. 

Project Management Tools

IT Planning uses a set of tools to help manage and support IT projects from initiation to closeout. Here's a quick overview of each tool and how it supports our work:

Jira

Used for project planning and tracking. Jira helps teams define and manage project tasks, timelines, milestones, and deliverables. It’s also used for issue tracking, team workload visibility, and status reporting.

Confluence

Used for project documentation. Confluence acts as the central hub for technical documentation, meeting agendas and minutes, risk and stakeholder registries, decision logs, and project charters. It supports versioning and commenting to keep documentation collaborative and up to date.

Microsoft Teams / SharePoint

Used for collaboration and real-time content sharing. Teams and SharePoint are used to co-edit working documents, post updates and project-related news, share helpful resources, and collaborate with external vendors when needed. These tools help ensure smooth communication and easy access to shared materials throughout the project lifecycle.
