Schedule a Class Meeting

Microsoft Teams allows faculty to schedule virtual class meetings directly within their course Team. Scheduling meetings through the class Team automatically invites enrolled students and provides students with access to the meeting through both Microsoft Outlook and the Teams calendar.

Note: Before scheduling meetings, your course Team must already be activated. Refer to the separate knowledgebase article on activating a class Team in Microsoft Teams.

Get Started:

Schedule a Class Meeting

  1. Open Microsoft Teams by searching for Teams on your computer or by opening any Microsoft 365 application through PirateNet and selecting Teams from the nine-dot app launcher in the upper-left corner.

  2. Sign in with your Seton Hall University account.

  3. In the left menu, select Teams, then select the class Team where you want to schedule the meeting.

  4. On the class homepage, go to the upper-right corner.

  5. Select the down arrow next to the video camera icon, also called More Channel Meeting Options.

  6. Select Schedule a meeting.

  7. Enter a meeting title, such as Class Meeting.

  8. Set the meeting date and time.

    • Meetings will not automatically end at the scheduled time, so you may begin early or continue later if needed.

  9. Confirm that the class Team name appears in the invitation. This ensures enrolled students are automatically invited.

  10. Turn on Send personal invites.

These next steps are optional but recommended.

  1. Select the Response Options drop-down menu.

  2. Uncheck Allow forwarding.

    • This helps ensure students join using their Seton Hall account and prevents forwarding outside the University.

    • Please note: Meeting organizers, co-organizers, and presenters are responsible for admitting unverified users from the lobby. Users who are not signed in with a recognized account may be placed in the lobby and must be manually admitted before joining the meeting.

  3. Check Request responses.

    • This allows you to track who has accepted the invitation.

  4. Select Send.

  5. Students will receive the invitation through both Microsoft Outlook and Microsoft Teams.

Join Your Scheduled Class Meeting

  • Always sign in using your Seton Hall University account.

  • Join a few minutes early to test your microphone and camera settings.

  1. Open Microsoft Teams.

  2. In the left menu, select the three dots for More options.

  3. Select Calendar.

  4. Navigate to the meeting date.

  5. Select the scheduled class meeting.

  6. Select Join to enter the meeting.

Admit Attendees from the Lobby

If a participant joins the meeting without signing in to a recognized account, they may be placed in the lobby until admitted by the organizer, co-organizer, or presenter.

  1. During the meeting, select People in the meeting controls to open the participant panel.

  2. In the Waiting in lobby section, review the attendee names.

  3. You may also use the meeting chat to communicate with attendees waiting in the lobby if you need to verify their identity before admitting them.

  4. Select Admit next to an individual attendee, or select Admit all if appropriate.

Remove an Attendee from a Meeting

If a participant is admitted by mistake or should no longer be in the meeting:

  1. Open the People panel during the meeting.

  2. Locate the participant in the attendee list.

  3. Select the More options menu (three dots) next to their name.

  4. Select Remove from meeting.
